Operations Assistant

Warwick, Warwickshire

Accountable to: Warehouse Manager

Salary: £22,500 to £27,000

Location: Warwick

 

Job Purpose

To provide administrative support to the Warehouse Manager and to generally contribute to the smooth running of the warehouse/yard.

 

Principle Duties & Accountabilities

The specific accountabilities of this flexible role may alter from time to time to meet the needs of the company, but accountabilities will include (or be equivalent in nature to) those listed below:

  • Managing stock levels – re- ordering when minimum levels are reached, assisting the Manager with booking in stock once checked, and updating spreadsheets
  • Regularly liaising with sales team regarding stock levels, deliveries, collections, and booking vehicles with transport companies
  • Organising picking lists and the schedule of vehicles in and out of the yard
  • Assisting the Warehouse Manager with the scheduling of shifts and work
  • Communicating with suppliers to book deliveries
  • General administrative duties such as answering the telephone, scanning, filing, and emailing information
  • Working with our electronic system
  • Booking skips, forklifts and equipment for servicing and repairs
  • Assisting the manager with monitoring the testing/repair of products
  • Monitor expiry dates on training certificates, and booking training/refresher courses for warehouse/yard employees
  • Keeping records of inspection sheets such as forklift pre use checks, site inspections etc.
  • Keeping records of accidents, emailing copies to Head office
  • Booking annual and bi-annual fire safety checks and keeping records
  • Keeping records of fire alarm tests and fire drills
  • Booking annual Pat Testing
  • Ordering PPE for the team

Level of Knowledge and Experience

  • Relevant experience gained in any commercial area involving administrative and/or operations work including contact with external suppliers/customers
  • A qualification in a relevant subject an advantage but not essential
  • Experience of computerised system desirable but not essential
  • MS Office experience is essential
  • Strong understanding of the working of an office
